Birth Certificate

To certify when and where the applicant was born.
 

Purpose

e.g. Family registration in Finland
 

Eligibility

Persons who fulfil one of the following conditions:
  1. To be Japanese national
  2. To be Former Japanese national
  3. to be Foreign national who was born in Japan
 

Required Documents

1. Application Form 
2. Valid Passport
3. Koseki-Tohon/Shohon戸籍謄本/抄本 or Certificate of Acceptance of Birth Notification”出生届受理証明書”
4. The official documents which show spelling of applicant’s parents’ names (e.g. passport)*Only Foreign nationals
 
  

Application and Collection

You can apply at the Embassy with an appointment. Can also apply by post or by email (shinsei<at>hk.mofa.jp).
When you apply by post or by email, please enclose/attach copies of all the required documents and present the original documents when you come to pick up the certificate.
 
You can send a proxy to pick up the certificate with a power of attorney
signed by the applicant. The proxy also needs to bring the passport of the applicant and her/his own ID (with a photo, e.g. passport).

We cannot send the certificate by post.

Please note that the embassy can accept only cash payments in Euro and you must bring the exact amount of money. Broken bills and cents are not accepted.
 

Processing Time

Two working days (the application day not counted)
 

Notes

・The applicant must confirm the (Finnish) Authority in advance, whether the birth certificate issued by the embassy is acceptable or not.  
・We will discard the certificate and submitted documents after three years of custody if the certificate is not picked up.
