Visa Application Procedures for Those Evacuated from Ukraine

Note:
(1)  On applying for visa, you must read “Procedure” below carefully.
(2)  During the visa process, the applicant may be requested to submit additional documents deemed necessary.
(3)  You must prepare all documents in A4 size and bring physical visa application documents and do not staple documents.
(4)  The duration of the issued document should be within 3 months from the date of issue, and be submitted within its validity period.
(5)  All documents submitted should be original documents. If you need to keep any of the original documents, please bring the original plus a copy.
(6) Validity of visa is 3 months from the date of issue and is not extendable. 
(7)  You must read and understand the measure of “Support for Persons Subject to Complementary Protection” to get from living expenses assistance provided by Japanese government. If you have inquiries about the measure, you can contact “Evacuee from Ukraine Help Desk (ukrhelpdesk(at)bricks-corp.com)”. 

You can ask the Help Desk in Japanese, English, Ukrainian and Russian.
 

Procedure

(1) After collecting all required documents, please send application documents to take pre-check by email (visa-apply<at>hk.mofa.go.jp). Please refrain from contacting us by telephone. You will get an appointment after pre-check in an e-mail.

(2) After getting an appointment, you can apply for your visa at the embassy. Please prepare all documents in A4 size and bring physical visa application documents and do not staple documents.

(3) If you send your substitute to the embassy, the substitute must submit the Power of Attorney with applicant’s physical signature. You can also apply for your visa by registered mail, but we do not bear any responsibility on the way of the transportation by mail.

(4) Processing time depends on an application. The embassy will inform an applicant when received the screening result. You need to bring and submit “Visa Application Receipt” when you come to pick up your passport. If you send your proxy to the embassy, the proxy must submit “Visa Application Receipt” and substitute’ ID issued by Finnish authorities.

 

Required documents

Evacuee from Ukraine who has a guarantor in Japan

(1)  Valid passport

       Should have at least 2 blank pages for visa

(2)  Copy of valid passport

       Only bio-date page (printed on A4 paper)

(3)  Temporary protection residence permit issued by Finnish Immigration Service

(4)  Copy of the residence permit

       Both sides (printed on A4 paper)

(5)  Two Application Forms

       If there is any omission in the description, it will be not accepted. If an item does not apply to you, write "Not Applicable" or "N/A".

      The applicant must sign by him/herself. Electrical signature is not acceptable.

(6)  Two Photographs

       45mm×35mm, taken within last 6 months

(7)  Letter of Guarantee (Japanese/English)

(8)  A Copy of Registration of resident (住民票) of a guarantor or Residence Card “Zairyu-Card”

(9)  Questionnaire concerning a guarantor ENG/UKR (beforehand, applicants are required to read “Warning on Human Trafficking” ENG/UKR)

(10) Questionnaire concerning an applicant who has a guarantor in Japan

Remarks:

(1)  If applicants have no photograph, we can take photo and print here.

(2)  Visa fee is free.

Evacuee from Ukraine without a guarantor in Japan

(1)  Valid passport
       Should have at least 2 blank pages for visa

(2)  Copy of valid passport
       Only bio-date page (printed on A4 paper)

(3)  Temporary protection residence permit issued by Finnish Immigration Service

(4)  Copy of the residence permit
       Both sides (printed on A4 paper)

(5)  Two Application Forms

(6)  Two Photographs
       45mm×35mm, taken within last 6 months

(7)  Questionnaire concerning an applicant without a guarantor in Japan

Remarks:

(1)  If applicants have no photograph, we can take photo and print here.

(2)  The visa fee is free.

(3)  In case an applicant doesn’t have any acquaintances in Japan, Japanese government could provide support scheme to search supporters, for example, NGO, municipal organization and so on.
